Claim Procedures

OU Vehicle Accident

Go to "What to Do in Case of an Auto Accident" located on the left hand side of the Risk Management web page.

On-Campus Injury (non-auto/non-work)

  1. Contact Oakland University Police Department (OUPD) at (248)370-3331 or in person at the Dispatch Operations Center located in the Police and Support Services Building.
  2. Email a copy of the police report and contact information to riskmgmt@oakland.edu
3rd Party Property Liability Claims Procedures

Property damage caused by a contractor working for OU will be managed by the Project Manager assigned by Facilities Management.  The Project Manager shall coordinate the claim for reimbursement of such damages.

Project Manager Responsibilities:

  • Obtain a copy of the contractor's certificate of insurance.
  • Contact the contractor's business manager liaison to notify him/her of the claim.
  • Provide the contractor's business manager with the University Risk Management contact  information.
  • Provide a detailed estimate of the cost for repairs/replacement to Risk Management.
  • Establish a fund number and/or budget (either internally or through the contractor) to specifically track the necessary repair/replacement of damaged property. This information will also be provided to Risk Management.
  • Provide invoices and additional documentation requested from the contractor's insurer or the contractor's business manager and provide copies of such material to Risk Management.
  • Manage and seek resolution of claim disputes and/or settlement issues.

Risk Management Responsiblities:

  • Create a claim file and arrange for periodic meeting with the Project Manager to provides updates on the repairs and/or replacement.

Oakland University Property Damage Claim Procedures

Risk Management Responsibilities:

  • Notify property insurance company of the damage.
  • Act as intermediary with the property insurance company and work with them to resolve and interpret insurance policy issues.

Facilities Management Responsibilities: 

  • Assign a Project Manager(PM) to manage all aspects of the repairs/replacement of the damaged building and contents.
  • PM will work with impacted department coordinating the building repairs and/or contents repair/replacement.
  • PM will notify Risk Mangement of damage estimates and repair/replacement costs.

Impacted Department Responsibilities:

  • Assign a building coordinator to work with PM and Risk Mangement.
  • Preserve all damaged inventory (if possible).
  • Separate damaged from undamaged inventory.
  • DO NOT THROW ANYTHING OUT
  • Take photographs, if possible, before removing any debris.
  • Any electronic equipment that may be damaged, contact the manufacturer service representative to inspect. If the representative suggests replacement rather than repair, written documentation will be required.
  • Create an inventory list by room number and include information listed below.
  • Send the completed list to Risk Management for review and approval.

Oakland University Owned Equipment Loss Procedures

Contact University Techology Services (UTS) and the Office of Risk Management immediately to report any lost or stolen electronic devices (desktop/laptop computer, external hard drive, data storage device).

1.  Email the following information to riskmgmt@oakland.edu:

  • Employee Name, Title and Department
  • Telephone Number
  • Email 
  • Detailed description of the loss and estimated value   
  • Police Report (OUPD or the local police department where the loss occurred)                     

2.  Risk Management will review the information and notify the department if the loss or theft will be reimbursed.  All property loss or theft claims are subject to the current property insurance deductible.
